Summary of Position
CHAI Lao PDR is seeking a qualified and motivated individual to join our Operations team as a short term Recruitment Assistant in response to the rapid expansion of project activities and the need to recruit a large number of qualified personnel within a short timeframe.
The Recruitment Assistant will be responsible for coordinating end-to-end recruitment processes across multiple positions simultaneously, ensuring a timely, organized, and candidate-friendly hiring experience. This is a short-term role suited to a detail-oriented and highly organized individual who can work effectively under pressure and tight deadlines.
Major Responsibilities
The Recruitment Assistant will be responsible for, but not limited to, the following:
1. Recruitment Administration
- Assist in managing concurrent recruitment processes for multiple roles across different programs and project locations.
- Post job advertisements on relevant platforms, including online job boards, social media channels, the organizational website, and other local networks.
- Receive, sort, and track a high volume of applications in an organized and timely manner.
- Schedule and coordinate interviews, written tests, and assessments with candidates and hiring managers.
- Communicate professionally with candidates throughout the recruitment process, including acknowledgement emails, interview invitations, and outcome notifications.
- Coordinate reference and background checks for shortlisted and selected candidates.
- Liaise with external job boards or recruitment platforms as needed, including managing posting deadlines and related correspondence.
2. Tracking and Records Management
- Maintain and regularly update the recruitment tracker to reflect the current status of all open positions.
- Maintain organized and complete recruitment files for all active and closed positions, ensuring records are audit-ready and compliant with HR policy.
- Support the preparation of offer letters, contracts, and pre-employment documentation for selected candidates.
- Ensure all recruitment documentation is filed accurately and accessible to authorised HR staff.
3. Onboarding Support
- Coordinate onboarding logistics including scheduling induction sessions, setting up personnel files, and ensuring pre-employment requirements are completed prior to the start date.
- Liaise with relevant teams (IT, finance, and operations) to ensure new hires have the access and equipment needed on their first day.
4. Compliance and Team Support
- Ensure all recruitment activities align with the organization's HR policies, safeguarding standards, and equal opportunity principles.
- Support the HR team in identifying and addressing challenges arising from the high volume of applications.
- Flag any compliance gaps, process bottlenecks, or candidate-related concerns to Office-Operations Senior Coordinator promptly.
Qualifications
- Bachelor's degree in Business Administration, Social Sciences, or a related field.
- Experience in HR, recruitment, or administrative support, preferably within an INGO, NGO, or development organization is an asset.
- Prior experience handling high-volume recruitment processes is a strong advantage.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent written and verbal communication skills in English; proficiency in Lao is an advantage.
- Proficient in Microsoft Office (Word, Excel, Outlook
- High attention to detail and accuracy in data management.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- A proactive, can-do attitude with the ability to work both independently and as part of a team.
- Strong interpersonal skills and ability to represent CHAI professionally
