JOB DESCRIPTION

The role

We are currently looking for Fleet Officer based in Luangprabang

Role Purpose

The purpose of the position is to be responsible for vehicle maintenance, prepare fleet Report, Correct/check overtime, Logsheet from driver, monitor the vehicles fuel consumption, train the drivers using forms that relate to driver, filling the drivers' ER, support driver as required to follow SCI policy.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly. 

KEY AREA OF ACCOUNTABILITY

Ensure they and their team fully understand the provisions of the Child Safeguarding Policy, the Code of Conduct and Local/Country Procedures.

Conduct themselves and ensure their team conduct themselves in accordance with the rules of the Child Safeguarding Policy, in their personal and professional lives – which includes reporting suspicions of child abuse.

That child safeguarding is integrated and given a “voice” in all management processes including recruitment, induction, performance management, team meetings, annual planning processes, field level monitoring, etc.

  • Ensure that all the maintenance/repair of the vehicles are done at appropriate time
  • Monitor the vehicles fuel consumption on weekly basis
  • Ensure that the vehicles are using good quality of fuel from reliable and contracted suppliers
  • Follow the proper filling of the logbook and train the drivers on its usage and other document relate to driver.
  • Prepare fleet Report and sent to VTE office in the end of each month.
  • Correct/check overtime from driver and send to VTE on 20 of each month
  • Vehicle Planning implementation
  • Correct/check Vehicle Logbook and sent to VTE in the end of Month
  • Voice of the drivers in the meetings
  • Responsible for filling the drivers' ER on daily basis
  • Responsible for check and maintaining the documents required for vehicles (insurance, drivers driving license, technical inspection and other document as required for the vehicles as per SCI policy)
  • Responsible for checking list of First aid kits in each car and prepare PR for purchase the missing list or Exp. date list.
  • To ensure a good tool kit is provided to each vehicle
  • Ensure that vehicles are adequately equipped with the necessary safety and security tools
  • Reportable to Admin and Supply Chain Coordinator
  • The drivers’ leaves are properly planned and the plan is followed.
  • Rotation of drivers when assigning to the field.
  • Drivers are planned properly to minimize the overtime.
  • Make sure Lao PDR labor law working hours is followed.
  • Make sure that the vehicle are used only and only for official purpose and report immediately any misuse.

Qualifications

  • BA in Business Administration or similar field

Experience and Skills

  • Professional experience in administrative positions;
  • Good written and spoken English skills;
  • Outstanding Lao written skills;
  • Good IT skills in general MS Office software;
  • Demonstrated ability to work independently and in timely manner;
  • Willingness to work long hours during peak work times;
  • Highly confidential and pleasant character and willingness to serve staff. 

Contract length: fixed term (8 months)
