  • Management Assistant/Communication Advisor JOB VACANCY Management Assistant/Communication Advisor As a federal enterprise, the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its objectives in the field of international cooperation for sustainable development. For further information, please visit www.giz.de/laos. GIZ Office Vientiane supports all GIZ Projects in finance and administration and currently is seeking for a qualified and experienced Laotian candidate for the position of Management Assistant/Communication Advisor. Starting Date:   As soon as possible Duration of Assignment:   02 years with possibility of extension Work Locations:    GIZ Office Vientiane   Responsibilities:  The Management Assistant/Communication Advisor is responsible for: Coordinating between GIZ headquarters, Country Direction and projects Advising projects in the country and possibly local communication experts on their communication work, and managing the exchange of information between projects, programmes and the GIZ office  Providing organizational and strategic support to the Country Director according to standards and guidelines of GIZ Communication policy monitoring of email box of the Country Director and GIZ Lao and daily management for answering, forwarding and coordinating Assuring the quality of articles from projects or programmes (e.g. publications, press conferences, the internet and intranet etc.)  Coordinating cooperation with external communication service providers (e.g. appraisers, agencies, photographers, trainers, copywriters) Creating and assuring the quality of pools of appraisers, service providers (text, printing, graphic designers, proofreading, lithography etc.)  Cooperating and participating in the corporate communication network, e.g. participating in corporate communication workshops Support of translation vis-a-vis English to German in GIZ office and Programmes Overall organisation and follow up of monthly meeting for management team such as: prepare agenda, writing of the minutes Preparation and steering contracts with external consultants  Preparation of induction for new communication staff  Performing of other duties and tasks at the request of management  Internal knowledge management  Main tasks: The Management Assistant/Communication Advisor for:  Communicates towards headquarters and GIZ Laos  writes, edits and translates texts in German checks the English PR work and ensures consistent quality communicates with GIZ corporate communication unit in Germany Conducts the PR introduction course Supports in producing promotional items/ PR event Coordinates communication between GIZ headquarters, Country Direction and projects Provides organizational and strategic support to the Country Director Ensures the monitoring and administration of Email Inbox of the Country Director and of GIZ Laos Inbox (answering, forwarding, coordinating) Office Management (German communication) Prepares and follows up of Management Team Meetings (agenda setting, briefing of facilitator, writing of minutes (in English language) Supervises and follows up of universal/general issues  Prepares and steers contracts with external consultants Supports organization of meetings/workshops/seminars Files and stores pictures and documents (on hard drive and online on Document Management System)  Required qualifications, competences and experience  University degree or comparable training at least 1-3 years’ professional experience in the field of communication and/or Management assistance  ability to express oneself well both verbally and in writing; polished, target-group oriented style experience in project and/or event management  Management assistance experience  very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office) very good knowledge of the English and German language willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management  GIZ is an equal opportunity employer. For further information, please visit www.giz.de/laos. GIZ is currently implementing the EU Switch Asia II Luang Prabang - Handle with Care Project. The objective of the project is to support the UNESCO World Heritage town Luang Prabang to be and remain a sustainable tourism destination by improving sustainable production and consumption in the public and private tourism sector. To this end the project is strengthening the environmental management capacities of the public and private sector, supports the sustainability and inclusiveness of the tourism value chain and improves responsible and sustainable tourism destination-wide. The European Chamber of Commerce & Industry (ECCIL) in Lao PDR is the sole representative organization for European businesses in Lao PDR and is planning to increase its presence in Luang Prabang, one of the main tourist centers of Lao PDR by the setting up of a representative office. ECCIL has a longstanding and extensive cooperation with the Lao National Chamber of Commerce & Industry (LNCCI). Supported by the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ), LNCCI operates a provincial subsidiary in Luang Prabang and through its SME Service Center provides support services especially for Small and Medium Sized Enterprises (SME). Amongst other programs, GIZ is currently implementing the Luang Prabang – Handle with Care-project. All three organisations share a history of good cooperation and decided to further combine their individual strengths in Luang Prabang.GIZ and ECCIL jointly agree to share one position with each 50% finical contribution. This will create important synergy effects between the GIZ Luang Prabang – Handle with Care Project and ECCIL. The advisor could transfer information about Luang Prabang – Handle with Care into the ECCIL and vice versa.  Therefore GIZ and ECCIL are looking for one qualified Laotian candidate to fill the following position of:   GIZ Officer for Tourism Business Associations in Luang Prabang (50%) Coordinator for ECCIL Luang Prabang Chapter (50%)  Starting Date:   As soon as possible  Duration of Assignment: 30.04.2019 with possibility of extension  Work Location:  Luangprabang Areas of Responsibility:For GIZ: Managing day to day business of the Luang Prabang Travel Agent Association (LUTA), and Luang Prabang Hotel and Restaurant Association (LHRA) Contact point for members and non-members of the Business Associations in the tourism sector in Luang Prabang and for the project “Luang Prabang – Handle with Care” Assist in organising events of the associations and the project, i.e. writing of Lao and English official invitations, writing of official letters, delivering of invitations in person, preparing and managing participants’ lists, and coordination of service providers.
